Privacy Policy
Last updated: 2 July 2026
This Privacy Policy explains how LaneLogic ("we", "us", "our") collects, uses, and protects your personal information when you use our mobile application and website (the "Service"). By using the Service, you agree to the practices described below.
1. Data Controller & Contact
LaneLogic is the data controller responsible for your personal data. If you have any questions about this Privacy Policy or your personal data, you can contact us at:
- Email: contact@lanelogicswim.com
If you are a resident of the United Kingdom or the European Union, you have specific rights under the UK GDPR and EU GDPR. See Section 8 for details.
2. Information We Collect
Account information
When you create an account we collect your email address, a display name you choose, and your role within the app (swimmer, parent, coach, or club administrator).
Swimmer profile information
Parents and coaches may create swimmer profiles containing the swimmer's first name, last name, date of birth, sex, Swim England / ASA registration number, club name, club code, squad, strokes, and notes. Swimmer profile data is linked to the creating parent or coach account and is used to track personal bests, training sessions, and meet entries.
Performance and training data
This includes personal best times, race splits, training session logs, gym and dryland exercises, attendance records, wearable data you choose to import, and meet entry selections.
Club data
If you are part of a Club Space, we store your club membership, squad assignment, messages you post in club channels, and attendance records created by your club's coaches or administrators.
Payment information
We do not store full card details. Subscription payments on the web are processed by Stripe. In-app purchases on iOS and Android are processed by Apple, Google, and RevenueCat. We receive a confirmation of your subscription status and entitlement from these providers so we can unlock the features you have paid for.
Usage and device information
We automatically collect limited technical data such as device type, operating system version, app version, and approximate location derived from your IP address. We use this to operate, secure, and improve the Service.
3. How We Use Your Information
- To create and manage your account and authenticate you.
- To display and track swimmer profiles, personal bests, training sessions, and meet entries.
- To import official times from Swim England rankings using the swimmer's ASA number.
- To decode meet packs and provide qualification tracking and performance analytics.
- To operate Club Spaces including messaging, announcements, attendance, and meet entry management.
- To process subscription payments and manage your subscription tier and entitlements.
- To provide AI-assisted analysis and summaries of swimming data you submit.
- To send service-related communications such as account verification and security alerts.
- To maintain the security, integrity, and reliability of the Service.
4. Legal Basis for Processing (UK / EU GDPR)
We process your personal data on the following legal bases:
- Performance of a contract — to provide the Service you have signed up for.
- Consent — for optional activities such as importing wearable data or AI analysis of submitted content.
- Legitimate interests — for service security, fraud prevention, and product improvement.
- Legal obligation — where we are required to retain records by law.
5. Children's Data
LaneLogic is designed to be used by parents, coaches, and clubs to manage the swimming activity of children. We do not knowingly allow children under the age of 13 to create their own account. Swimmer profiles for children are created and managed by a parent or by a coach acting with the parent's consent.
By creating a swimmer profile for a child, you confirm that you are the child's parent or legal guardian, or a coach authorised by the parent, and that you consent to the processing of that child's personal data as described in this policy.
You may request deletion of a swimmer profile and its associated data at any time by contacting us at contact@lanelogicswim.com.
7. Data Storage & Security
Your data is stored on secure cloud infrastructure. Access is restricted to authorised personnel and service providers. We use encryption in transit (TLS) and at rest where supported by our infrastructure.
While we take reasonable measures to protect your data, no system can be guaranteed completely secure. We will notify affected users of any personal data breach where we are legally required to do so.
8. Your Rights
If you are a resident of the UK or EU, you have the following rights regarding your personal data:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate or incomplete data.
- Erasure — request deletion of your account and associated data.
- Restriction — request that we limit processing of your data.
- Portability — receive your data in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests.
- Withdraw consent — where processing relies on consent, withdraw it at any time.
To exercise any of these rights, contact us at contact@lanelogicswim.com. You also have the right to lodge a complaint with your local data protection authority (in the UK, the Information Commissioner's Office at ico.org.uk).
9. Data Retention
We retain your personal data for as long as your account is active and for a reasonable period afterwards to allow recovery, legal compliance, and dispute resolution. Swimmer profiles and associated performance data are retained until the controlling parent or coach deletes them or closes their account.
Club data (messages, attendance, meet entries) may be retained by the club for as long as the Club Space remains active, in line with the club's own retention needs.
10. International Transfers
Some of our service providers are located outside the UK and EU. Where this happens, we rely on appropriate safeguards such as Standard Contractual Clauses or the UK International Data Transfer Agreement to ensure your data is protected to a comparable standard.
12. Third-Party Links & Content
The Service may contain links to third-party websites and meet documents (for example, meet packs hosted by swimming clubs or governing bodies). We are not responsible for the privacy practices of those external sites. We encourage you to review their privacy policies.
13. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated through the Service. Continued use after changes take effect constitutes acceptance of the updated policy.
14. Contact Us
